Define what people must hear
Clear speech, background music and a performance need different sound arrangements. Start with the programme and audience layout. Note whether people are seated, moving between zones or asking questions from the floor. A list of loudspeaker wattages cannot answer those questions.
Plan microphones and coverage together
A microphone choice affects how a presenter moves and how the sound team works. Decide who needs a microphone at the same time, how it reaches the next speaker and whether a moderator controls audience questions. Include the stage, audience and loudspeaker positions in the same drawing.

Check the proposal against the running order
Share the room plan, participant list and event schedule with the sound supplier. Allow a speech check in the actual room and identify who can make changes during the event.
