Why is speech hard to understand at an event?

    A voice can be loud and still be unclear. Separate microphone pickup, room sound, audience coverage and competing activity before asking for more volume.

    Loudness and understanding are different questions

    If guests hear a voice but miss the words, first describe where and when it happens. Does it affect the whole room, the back rows, one presenter or only moments when music plays? These observations help the sound team investigate the system instead of responding to a vague request to turn everything up.

    A useful brief for event sound asks for speech that can be followed in the actual listening areas. Include the room and programme conditions under which that result will be checked.

    Several causes can coexist. The table is a way to report evidence, not a diagnosis or a list of mixer settings for an organiser to apply.

    Look at the path from mouth to listener

    First, rehearse the presenter with the actual microphone. Ask them to speak normally, turn towards the screen and demonstrate their movements. Next, listen in the audience while only that microphone is used. Then add the other sources that will operate during the real programme.

    Shure explains that microphone distance, room acoustics and the number of open microphones affect the available level before feedback; it also discusses acoustic treatment for reflective rooms. Its meeting-room guide describes these relationships. This is why purchasing a different microphone alone may not resolve the whole problem.

    Give the technician access to the places where guests will sit. A check from the mixing position cannot represent every corner, balcony or area behind a column. Keep the room arrangement available for adjustment until the difficult areas have been discussed.

    Worked example: a presentation beside a reception

    Imagine a hypothetical launch in a hotel room with 90 seated listeners. A reception area remains open through wide doors on one side. The empty-room rehearsal sounds acceptable from the front, but a test conversation near the doors makes the right-hand seats difficult to follow.

    Do not immediately conclude that larger loudspeakers are required. Repeat the same short speech sample from several seats with reception activity present. Ask the team to compare three project options: move the listening area, change the timing of the reception, or revise local sound coverage. Check which options the venue and programme permit.

    Suppose the event can pause reception music during the presentation and move the closest conversation tables. That is a revised event arrangement to test, not a promised cure. Record the agreed door state, music state and seating plan so they are not changed after rehearsal without telling the sound team.

    Handle feedback as a system issue

    Yamaha describes feedback as amplified sound returning to a microphone and circulating through the system. Its guidance highlights the relationship between main-speaker direction and microphone position. Read the explanation of the feedback loop.

    For an organiser, the practical job is to keep agreed speaker and presenter locations intact and provide a clear signal to the technician if a problem occurs. Do not ask staff to move loudspeakers, change gain or alter processing at random during the session.

    Plan a listening check before opening

    1. Use a short representative speech sample and the real presentation microphone.

    2. Listen from front, rear, side and obstructed locations; write down the location of any difficulty.

    3. Repeat with the planned playback, adjacent activities and room configuration.

    4. Check quieter voices and real presenter movements, not only an experienced technician counting loudly.

    5. Confirm who can change background music, seating or door arrangements if required.

    This check is a practical review. If the project requires a specified acoustic measurement or intelligibility criterion, agree its method, coverage and acceptance process separately.

    Ask these questions before booking

    Has the supplier seen the room? Which seats are difficult? How will neighbouring activities be managed? Who controls microphones throughout the session? What happens when the programme changes? Include technical support and the required rehearsal within the AV rental scope so those questions have an owner.
