A practical first choice
A handheld microphone is a useful starting point for short introductions, interviews and audience questions. Consider a headset when the presenter needs both hands and moves or turns frequently. A lavalier, also called a lapel microphone, is an option when a small visible microphone matters and the clothing and sound conditions suit it. A presenter who stays at a lectern may need neither wearable option.
These are starting choices to test, not a ranking of professional versus unprofessional equipment. Agree the presentation format before specifying the sound system. Include the person wearing or holding the microphone in the decision.

Consider movement before appearance
Write down what the presenter actually does. Will they hold a product, operate a clicker, draw, interview another person or look over their shoulder at a screen? A microphone choice made from a portrait photograph will miss those moments.
Shure explains that a headset keeps its capsule close to the mouth as the head moves, while a lavalier can change in level with head movement. This makes a headset worth testing for a moving demonstrator; it does not remove the need for a suitable loudspeaker layout. Shure compares the two wearable formats.
Ask the presenter which compromises are workable. Someone wearing glasses may want time to try the headset fit. Another speaker may prefer holding a microphone as part of their delivery. A short practical rehearsal resolves more than choosing the smallest product photograph.
Clothing and changeovers are part of the system
For a wearable microphone, agree where the capsule, cable and transmitter will go. Tell the technician about dresses without pockets, loose scarves, jewellery, costume changes or demonstrations involving movement. Do not assume a lapel exists just because the chosen microphone is called a lapel mic.
For any wireless format, ask the supplier to coordinate the radio system with the venue and other production teams. Adding another transmitter is an equipment and coordination decision. A wireless label alone does not promise reliable operation at every event.

Worked example: a product launch session
Consider a hypothetical 45-minute session: a host introduces the event, a demonstrator presents a product with both hands, two guests join for a conversation, and the audience asks questions. There is no assumed room size or microphone package.
For the host, propose a handheld and rehearse the introduction. For the demonstrator, trial a headset while they operate the product and turn towards the screen. For the guests, decide whether each needs a dedicated handheld or whether a deliberate interview handover suits the format. Assign an audience-question microphone and a person to take it to the selected participant.
Now inspect the busiest transition: the host may still be speaking when the demonstrator arrives and the guests are being seated. Mark which microphones must already be ready. A headset shared between consecutive speakers needs removal, fitting and checking; a gap in the agenda must accommodate that work. The quote should reflect this timeline, not simply divide the number of speakers by the number of microphones.
The practical output is a table of names, microphone format, fitting time, on-stage time and handover owner. It can be revised before equipment is booked, when changes are easier to absorb.
Mistakes that cause avoidable disruption
Choosing only for invisibility. Review intelligibility, comfort and the full stage action together.
Assuming every guest knows microphone technique. Give a short explanation and let them hear themselves during the check.
Reusing a wearable microphone with no changeover time. Provide a realistic fitting slot and a named technician.
Leaving microphones live backstage. Agree who mutes each channel and when it becomes live.
Treating a spare as self-explanatory. State where it is, who brings it and how the presenter is told to use it.

Confirm whether each person moves, needs both hands or stays at a lectern.

Count simultaneous speaking roles, including moderator and audience questions.
Schedule fitting and a rehearsal of real movements, with listening checks in the audience.
