Describe the experience before choosing the acronym
Start with a practical sentence: “Visitors explore an inaccessible location”, “they see a product in context” or “they leave with a branded video”. Each points towards a different design. Choosing a technology because it sounds more immersive leaves the team without a clear way to judge success.
VR presents a virtual environment; AR adds digital elements to a view of the real world. MDN's WebXR overview describes both and the range of supported device types. XR is an umbrella term, so it does not identify one fixed piece of equipment. In event proposals, an XR video zone may mean a camera-based setup combining people with a virtual scene.

These are useful proposal categories, not exclusive technical definitions. A headset can support more than one mode, and a camera-based activation can include AR elements. Ask the supplier to draw the actual visitor steps and name what is visible in the headset, on the public display and in the delivered file.
Match the format to the intended outcome
A VR journey is worth considering when being inside the scene helps explain something that a flat presentation cannot easily convey. Review the specific content: an attractive world without a meaningful visitor action may communicate less than a shorter guided demonstration.
AR can help connect a digital object to a physical setting. It also creates practical questions about devices, camera permissions, tracking conditions and how someone begins. If guests use their own phones, define a supported-device route and an alternative for those who cannot or do not want to use it.
A camera-based XR zone puts the recorded result near the centre of the experience. Worked example: one product launch, three possible briefs
Imagine a hypothetical launch of equipment used in a remote environment. A VR concept lets one visitor explore a simplified virtual location with a staff introduction. An AR concept lets the visitor inspect a digital product alongside a physical sample. An XR video concept places the visitor in a branded scene and creates a short clip.
If the goal is understanding where the equipment works, test the VR journey against a straightforward demonstration. If the goal is explaining the product's relationship to nearby objects, trial the AR placement. If the goal is a personal media souvenir, develop the video storyboard and delivery test first.
Suppose the initial VR plan contains a four-minute experience, but fitting, introduction and handover add another three minutes in rehearsal. Its full seven-minute cycle changes queue planning. The other concepts also need measured cycles: permission screens, retakes and file collection can all consume time. These hypothetical timings are planning inputs, not industry benchmarks.
Compare complete production requirements
Ask for space including guests waiting, staff, service access and equipment beyond the participation area. A headset's play area is not the whole activation footprint. A video zone needs camera distance and lighting positions in addition to the visible backdrop.
Budget content separately from equipment. Existing VR material, a new AR model and a custom virtual filming environment have different preparation, licensing and approval needs. Confirm what already exists, what must be created and who approves the final experience on its intended device.
Questions that make a format decision useful
What should the guest understand, do or receive by the end?
Does the experience require a headset, a supplied device or the visitor's phone?
What does the full participation cycle include, and where do people wait?
Who assists, resets, maintains and recovers the station?
What alternative is available if someone cannot or chooses not to participate?
Which deliverables, rights, integrations and technical tests are included?
