Choose the souvenir before designing the set
Start by describing the file a guest should receive. Is it a group portrait, a short branded clip or a sequence in which the guest appears inside a virtual environment? Approving that result first helps the team decide how much scene design, interaction and production equipment are useful.
A conventional photo setup can be the right choice for a straightforward portrait and a clear brand backdrop. An XR video zone is worth considering when a changing environment, staged action or the relationship between guest and virtual scene contributes to the idea. More technology does not automatically make the souvenir more relevant.

The comparison describes formats, not a fixed equipment package. Ask the provider to identify what is included. A printer, public preview screen, second camera or instant sharing integration should appear in the scope when required.
Understand what tracking adds
In a tracked virtual-production setup, the virtual view can respond to the physical camera's position. Epic Games' in-camera VFX overview explains the relationship between tracking, camera perspective and rendered background. That is one technical approach; the word XR alone does not prove that a proposal includes it.
For the buyer, the useful question is what movement the approved shot needs. A fixed-camera portrait may have different requirements from a camera moving around a guest. Ask for a test of the intended shot, including the boundaries beyond which the illusion or framing stops working.
Worked example: a short clip with a longer guest cycle
Imagine a hypothetical activation where a visitor steps into a virtual travel scene and receives a ten-second clip. A trial takes twenty seconds for positioning and explanation, ten seconds for capture, twenty seconds for review and another thirty seconds for file collection before the guest leaves.
The full cycle is eighty seconds, despite a ten-second final video. If file collection moves to a separate position and the technical workflow supports that separation, the camera may become available sooner. The handover desk then needs its own capacity and a reliable way to match each guest with the correct file.
These timings are invented planning inputs, not a service promise. Measure the actual process, including retakes and failed delivery. Compare it with a conventional portrait trial using the same guest group and event objective; the shorter file is not necessarily the faster station.
Plan camera, light and space together
The visible backdrop is only part of the footprint. Include guest positions, the camera's working distance and movement, lighting, operator position, technical equipment and the waiting area. Review the shot through the camera rather than judging only the view from the aisle.
Test representative clothing, props, group size and movement with the proposed scene. Check whether faces, brand elements and important virtual objects remain legible in the delivered format. A composition that works horizontally may require redesign for a vertical clip.

Make the last step part of acceptance
Approve the exact output: orientation, duration, brand placement and any sound.
Confirm how guests preview, accept or repeat a capture.
Test media delivery on a guest device and a failed-network scenario.
Agree permission, access and retention arrangements for captured media.
Show the queue, capture area and collection point on the floor plan.
Common mistakes include approving only the 3D scene, overlooking camera and lighting positions and promising immediate media delivery without a complete test. An impressive live display is not a substitute for checking the file guests actually receive.
Send a reference of the desired result, event layout and expected participation with an XR zone brief. If the concept includes guest interaction beyond posing, define that separately with interactive installation design.
