Start with the viewing task
A TV or professional display is a sensible starting point for a small audience viewing a product demonstration nearby. Compare projection and a modular LED wall when you need a larger shared image. Projection requires a suitable surface and an unobstructed light path; LED requires an appropriate panel configuration and support system. The final choice depends on the actual room and content.
Write one sentence before requesting quotes: “Guests must be able to read these slides from these seats,” or “People passing the stand must notice this animation.” These are different jobs. An impressive background can still be unsuitable for a detailed spreadsheet, and a sharp demonstration screen can be too small for a whole hall.
Compare the complete setup

“LED TV” in a product name does not necessarily mean a modular event LED wall. Ask which display technology and physical configuration the quotation describes. Check light and detail separately
For LED, smaller pixel pitch can support closer viewing, but acceptable detail also depends on the content and the viewer. There is no single distance rule that guarantees a successful presentation. Planar describes these viewing-distance factors. Ask to see your densest slide, not only promotional video.
For projection, a brightness figure needs context: room lighting and the required image influence the choice. Epson distinguishes white and colour brightness in its projector brightness guide. Also confirm the exact lens: projection distance varies with the lens and image format, as illustrated in Epson's installation tables. An empty rectangle on a floor plan is not enough to establish that projection will fit.
Worked example: a small exhibition stand
Assume a hypothetical 3 × 3 m stand, three visitors at a time and a presenter showing product software. Visitors can approach the screen; the brief does not require a large background visible across the hall. Begin by comparing a suitably sized professional display on an approved stand with a small LED configuration.
Check the smallest interface labels with the demonstration running. Then mark the display stand, presenter and visitors on the plan. If the display delivers the required readability and leaves room for the conversation, a larger LED build has no demonstrated advantage for this brief. If the task changes to attracting distant visitors with a wide animation, reopen the comparison: the original choice answered a different question.
Worked example: a conference room
Assume a hypothetical 120-person conference with slides, recorded video and windows beside the presentation area. First establish whether the window light can be controlled during the event, where the last row sits and whether a clear projection route exists.
Request two layouts: projection with a specified screen and lens, and LED with a specified canvas and support system. Review the same slide from the same seating positions. If neither layout makes the slide readable, consider changing the content or adding repeat displays instead of simply increasing the main screen. Audience count alone cannot determine the correct screen size.
Compare the whole quotation
Use the same event dates, access times, content and operating hours for every option. Otherwise a low headline rental price can conceal a different scope.
Display package: screen or panels, lens where applicable, stand or support system and signal processing.
Delivery and venue: transport, unloading access, installation, dismantling and venue-related charges stated separately.
Show operation: playback equipment, source switching, rehearsal, operator hours and the agreed backup arrangement.
Content work: adaptation of slides and video, unusual aspect ratios and revisions after approval.
Ask what changes if you reduce the image size or move the screen. This reveals the cost of an actual design decision without assuming that one technology is always cheaper.
Before you decide
Provide the floor plan, screen location, nearest and furthest viewers, and representative content.
Describe daylight, room lighting, filming and the intended hours of use.
Confirm the installation footprint and access with the venue.
Approve a real content test and a quotation covering the same scope.
