How to choose a projector for a bright event room

    Start with the light falling on the screen, the image size and the smallest detail your audience must read. A lumen figure becomes useful only after those conditions are clear.

    Choose the viewing conditions before the projector

    For a bright conference room, first try to control light around the screen and then ask for a projector and screen combination tested at the intended image size. If daylight falls directly on the image and cannot be managed, include a TV or LED alternative in the discussion. Ordering a brighter projector without checking the room can leave the central problem unresolved.

    Write down what the audience must do: recognise a product in a video, read a short headline, follow a slide or inspect a detailed software interface. Those tasks create different acceptance tests. A screen that makes a colourful showreel look impressive may still fail to communicate the numbers in a business presentation.

    “A bright hall for 150 people” is an incomplete brief. Two rooms with that capacity may have completely different screen locations, window exposure and presentation layouts. Photos taken in the evening also tell little about a session starting beside unshaded windows at noon.

    What lumens tell you

    Lumens describe light output, but the image also depends on its area and the surrounding light. Spreading a given output across a larger image reduces the light available per unit area. BenQ explains these relationships in its projector-brightness guide.

    Ask the supplier which measurement and picture mode their quoted output refers to. Epson distinguishes white-light output from colour-light output in its brightness guidance. For brand material, include actual colours and photographs in the test instead of evaluating only a white slide.

    The useful question is therefore: “Will this complete setup show our approved files clearly with the agreed room lighting?” Request the answer for the proposed lens, screen and operating mode. Keep a record of those assumptions so that a later change in image size or room layout triggers a fresh check.

    Worked example: a wider image in the same room

    Consider a hypothetical presentation with a 16:9 image, initially 3 metres wide. Its height is about 1.69 metres and its area about 5.06 square metres. The organiser then asks for a 4-metre-wide image. At the same proportions, that image is 2.25 metres high and covers 9 square metres.

    The second image has about 78% more area. In a simplified comparison with unchanged delivered light and otherwise equal conditions, light per unit area falls to about 56% of the original level. This is area arithmetic, not a prediction of perceived brightness or a final lumen calculation. Lens settings, surface and actual output still need checking.

    Compare three proposals: retain the smaller image and simplify the slides; enlarge the image and reassess the complete projection package; or improve local light control before choosing the final size. The smaller image is acceptable only if it also passes the rear-seat reading test.

    A practical test before the event

    1. Use the actual screen location and proposed image dimensions. Show a representative slide, a brand image and the darkest important video sequence.

    2. Set the room lights as they will be during the presentation. Include the speaker lighting and check daylight at the relevant time where possible.

    3. View from the back, both sides and any accessible seating positions. Read the smallest essential text without relying on prior knowledge of the slide.

    4. Check the presentation source as part of the system: scaling, aspect ratio and playback can undermine an otherwise suitable image.

    5. Record what passed, what changed and who approves the result. If a venue test is unavailable, agree the remaining assumptions and an alternative before installation day.

    Common mistakes and useful questions

    Do not compare headline lumen figures while leaving screen size unspecified. Do not assume the brightest picture mode is the one you want for brand colours. Avoid solving an unreadable slide only by adding equipment; sometimes the chart needs fewer labels or a separate close-up.

    Can the audience keep enough room light for notes? Which lights affect the image directly? Who can change them? Is the agreed screen position available after scenic construction? What happens if the planned test fails? These questions help turn a rental list into a workable presentation setup.
