How to choose TV size for an exhibition stand or presentation

    Choose a display by the information people must read and where they will stand or sit. Diagonal size helps compare hardware, but the visible image and audience layout determine whether it works.

    Start with the furthest useful viewing position

    Choose the smallest display that lets the intended audience follow the essential content comfortably from every planned viewing position. To find it, map the audience, select a representative slide or application screen and test candidate image sizes. Do not choose a television by diagonal alone or apply a home-cinema distance rule to a spreadsheet presentation.

    For a visitor speaking with a salesperson, the relevant viewing area may be a small meeting corner. For a scheduled demonstration, include people standing behind the first group. A screen that succeeds at the first task may be too small or badly positioned for the second.

    Translate inches into the visible image

    A diagonal does not tell a stand designer how much wall space the screen needs. The table gives approximate active-image dimensions for a 16:9 rectangle. These are calculated sizes, not a list of available rental models. Frames, mounts, feet, cables and service clearances add to the installation footprint.

    For another 16:9 size, image width is approximately 0.872 times the diagonal and height is 0.490 times the diagonal, using the same units. One inch is 2.54 centimetres. For a portrait display, width and height exchange places; the model and mounting arrangement must also support that orientation.

    Worked example: 65 inches, 85 inches or different content?

    Imagine an exhibition demonstration with viewers between 2 and 5 metres from the screen. The proposed landscape image is 65 inches, about 0.81 metres high. A necessary label occupies 3% of the image height, making it approximately 24 millimetres high on screen. This describes physical size; it does not prove that every viewer can read it.

    Changing to an 85-inch image raises that label to about 32 millimetres: roughly a 31% increase in height, not a doubling. Alternatively, redesigning the slide so the label occupies 6% of the original image makes it about 49 millimetres high on the 65-inch display.

    The comparison shows why content and hardware should be reviewed together. Test both versions from 5 metres and from the side. If a dense interface cannot be simplified, consider a close-up presentation view, smaller demonstration groups or another display nearer the second viewing area. Check whether the solution still works when the stand is occupied.

    Carry out a simple acceptance test

    1. Mark screen and viewer positions on the floor plan. Include furniture, seated eye level, the nearest standing visitor and the back of the intended group.

    2. Display real content at its final proportions, using the application zoom and playback layout planned for the event.

    3. Ask someone unfamiliar with the material to read essential labels and explain the main message from each position.

    4. Check reflections, side views and people blocking the image. Raising the screen may help one viewer while making the nearest position uncomfortable.

    5. Record the selected dimensions, mounting height, content version and viewing area together. Recheck them if the stand layout changes.

    What commonly goes wrong

    A higher pixel count does not enlarge small text when the layout remains unchanged. Likewise, a physically larger screen does not clear a column or queue blocking the view. Avoid approving an image from a laptop screenshot, forgetting captions near the bottom or treating the entire hall as the audience for one meeting-table display.

    For the quote, send image orientation, audience distances, the floor plan and representative content. Ask for actual display and stand dimensions rather than allowing only for the screen rectangle. Compare a single display with other layouts before committing scarce stand space.
