Request the complete installation boundary
A screen described as four metres wide does not tell you how much floor area to reserve. Ask for a plan of the complete installation, including support components, any specified stabilising provisions, equipment, cable routes and access needed during use. Also ask which additional space is needed temporarily for installation and dismantling.
This applies to lighting supports, scenic portals and stage structures as well as screens. A front rendering can hide the very parts that determine whether the installation fits. Agree the footprint before filling the remaining space with seating, furniture, counters or visitor activities.
Separate four kinds of space

These areas can have different boundaries and different permitted uses. Ask the designer to label them instead of drawing one unexplained rectangle. Where overlap is proposed, the relevant teams must agree when and how the shared area can be used.
Depth deserves as much attention as width
For a supported display, the image plane and the rear edge of the support are different references. Prolyte's indoor LED support description, for example, identifies a base unit, connection bar and ladder truss as parts of the assembly. That is a useful reminder to request the complete system drawing rather than estimate depth from the display cabinet.
For an overhead arrangement, check the floor footprint of other necessary elements too: control positions, cable transitions or protected working areas may still affect the event plan. Removing a visible upright does not automatically make every area below available for seating or circulation.
Hypothetical example: budgeting a stand's area
Suppose a stand measures 6 m by 4 m, giving 24 m². For an early planning exercise, the designer reserves a 6 m by 1 m rear technical band for a proposed installation and its agreed access. That band occupies 6 m², leaving 18 m² before allocating furniture and circulation. The 1 m depth is an invented project assumption here, not a recommended or minimum clearance.
If the organiser then allocates a separate 3 m² demonstration counter zone without overlap, the unallocated area becomes 15 m². It would be misleading to call all 15 m² “visitor capacity”: the shape of the remaining area, entrances, viewing distance and circulation still need review. A long narrow strip and an open rectangle with the same area do not serve visitors equally well.
Now suppose the final support drawing requires a deeper rear zone. The area budget must change before the counter position is finalised. Reducing the technical band on a sales visual cannot solve the physical conflict. Alternatives might include moving the display, changing its installation concept or reducing another feature, subject to technical and venue review.
Use a plan and a section together
The plan answers where the installation reaches on the floor. A side section answers where the visible image starts, what sits behind it and how the structure relates to the ceiling and stage. Mark the audience's important sightlines in these views. A base can fit within the boundary while an upright or raised screen still creates an awkward viewing experience.
Show access routes from unloading to the installation position. Doors, corners, lifts and storage locations can affect the build method. Confirm when cases leave the room and where they return for dismantling; “we will move them later” leaves an unresolved space requirement at the busiest moments.
Questions to close before approving the layout
Does the drawing show the complete structure, not just the screen face or stage deck?
Which service zones must remain available during opening hours, and who keeps them clear?
Which dimensions are confirmed by the supplier and which are still concept assumptions?
Has the venue checked the planned circulation and its other spatial requirements?
Is the temporary build and dismantling area available at the times needed?
Bring the scaled venue plan to design and visualisation and ask for a space allocation view. Use installation planning to check the working sequence against it. The structure should be selected together with this layout, rather than added after the visitor area has been sold.
