The main trade-off is where the equipment and beam go
Start with front projection when you can position the projector on the audience side without obstructing the view or regular movement. Consider rear projection when you need a clear presentation area in front of the image and can reserve enough space behind it. Neither arrangement is automatically the better choice: the available room and programme determine the useful option.
Draw the full setup before deciding. A screen symbol on a plan does not show the projector, its light path, service access or the people working nearby. Rear projection needs a defined technical area; front projection needs a workable route for light through or above the audience side.

Da-Lite's rear-projection planning document treats the projector, lens, screen and room dimensions as related design inputs. That is the useful planning principle here. Its example products and historical sizing guidance are not a specification for your event.
Worked example: rear projection in a shallow room
Imagine a room 9 metres deep. The proposed rear-projection concept reserves 2.5 metres from the back wall to the screen, and the programme needs a 1.5-metre presentation area in front. That leaves 5 metres before the opposite wall for the remaining audience layout and circulation.
If the first seating draft already needs 6 metres, the two plans conflict by 1 metre. Calling the lens “short throw” does not resolve the conflict until the optical design, projector body and service access have actually been checked. The 2.5 metres is an assumption for this example, not a standard minimum.
Compare an approved elevated front-projection position, a different stage layout or a genuinely shallower rear system proposed by the supplier. Each option must be redrawn with the same audience requirement. Reducing backstage access on paper merely hides a problem for the crew; reducing audience space may change the event brief.
Follow the people, not just the image
For front projection, walk through entrances, handovers and presentation movements. A presenter standing in one marked position during a test may move across the beam when answering questions. Check whether the chosen position creates distractions or prevents someone from approaching the stage.
For rear projection, identify who enters the space behind the screen. Storage, costume changes or a route to another room should not be assumed compatible with an unobstructed optical area. Agree where technicians can reach the equipment without disrupting the programme and how other suppliers will recognise that reserved space.
Screen surface and lighting still need assessment in both layouts. Rear projection is not a promise of daylight performance. Ask to see important colours, fine text and the corners of the image from the planned audience positions. Keep the final room-lighting scene in the test.
What to send for a comparable proposal
A scaled room plan showing the usable area on both sides of the proposed screen.
Image dimensions, content format, audience positions and presenter movement.
Doors, access routes, backstage functions and other suppliers' equipment.
Confirmed mounting options, installation windows and who approves the room layout.
A request to identify the screen surface, lens, support and practical test in each option.
Avoid comparing a bare front-projection package with a rear package that includes scenic masking and crew. List those scope differences separately. Ask what must change if the venue cannot release the reserved backstage area or if the screen moves after rehearsal.
Use projector and monitor rental to discuss the image requirement, and include the complete room arrangement under AV equipment rental. Where the screen forms part of a set, involve design and visualisation before the layout is fixed.
