Choose what visitors should notice first
Start with the visitor's route: what should attract attention from the aisle, what should become clear when someone approaches, and what must be visible during a demonstration? A stand that is equally bright everywhere can still fail to explain where the main product is. Write a short priority list before requesting more fixtures.
Use the stand drawing to label the hero product, supporting displays, brand graphics, screens and conversation areas. Mark where visitors and staff will stand. The design brief should connect those positions with a result: readable packaging, visible controls, an inviting face or a consistent wall graphic.

Judge the product rather than the empty stand
Bring a sample when colour, texture or gloss influences the buying decision. A polished case may look attractive from one position while a bright reflection hides its label from another. Request a focus check with the product, its final angle and any glazing in place. A rendering helps discuss intent, but it does not replace this check.
Ask the designer to explain how visitors distinguish foreground from background. Do not evaluate a proposal through total fixture output alone.
Worked example: a compact technology stand
Imagine a hypothetical 6 × 3 metre stand with one glossy demonstration product, a shelf of smaller items, a printed back wall and a screen. The visitor should notice the product first, watch a demonstration and then speak with a representative. These dimensions describe the scenario, not a standard lighting package.
Request separately adjustable attention on the main product and useful light at the demonstration counter. Ask for the shelf and graphics to remain readable without competing equally for attention. The screen team supplies typical content. The stand builder confirms possible support positions and the final display heights.
During handover, inspect three views: approach from the aisle, visitor position at the counter and the intended camera angle for social clips. If a product reflection obscures the label, have the lighting designer and stand team review the arrangement together. If staff cast a shadow over the controls, test the demonstration again after adjustment. Approve the result with the product in place, not a photograph of an empty booth.
Resolve integration before the build
Show who supplies each lighting element, particularly when the stand includes illuminated shelves or built-in details. Confirm who provides control, cabling and the venue power connection, and who can access the fixtures for final adjustment. These interfaces often matter more to delivery than the visible fixture count.
Give the stand builder the proposed equipment and support requirements for review. The organiser should not guess allowable loads or attachment methods. If the design relies on overhead positions that are not yet confirmed, keep that dependency visible in the quotation and agree an alternative layout.

Common mistakes include choosing lighting before shelf heights are settled, testing without products, and letting decorative effects dominate a demonstration. Request a functional plan from the lighting team and make the zone checks part of the final handover.
